Refund & withdrawal policy

How licence fees and tournament entry payments are handled when you cancel, withdraw, or a purchase cannot be completed.

Scope

This policy covers fees paid through Padel Hub Namibia for federation licences and sanctioned tournament entries. Club court bookings or third-party products outside the hub are not covered here. General platform rules are in the Terms of Use.

Licence purchases

Licence fees are for a defined season product. Once a licence is issued (payment settled and certificate recorded), fees are generally non-refundable, including if you stop playing mid-season or change clubs — unless the NPF agrees in writing to a discretionary exception (for example duplicate payment or a clear platform error).

If you start checkout but payment never settles, no licence is issued and no fee is owed. Failed or abandoned intents do not create a refund claim.

Tournament entries

Entry fees follow the published withdrawal deadline for each event:

  • On-time withdrawal — before the deadline stated on the tournament fact sheet or entry flow — is ordinarily eligible for a refund of the entry fee, subject to any non-refundable processing fee disclosed at purchase.
  • Late withdrawal after the deadline typically forfeits the entry fee and may incur additional penalties under NPF or event rules (for example ranking or future-entry consequences).
  • Event cancellation by the organiser or federation usually triggers a full entry-fee refund or a credit toward a replacement event, as announced for that tournament.

How refunds are paid

Approved refunds are returned via the original payment path where practical (card gateway reverse, or EFT back to the paying account). Bank and gateway timelines apply; allow several business days after approval. Proof-of-payment references help us match the original transaction.

Requesting a refund or withdrawal

Use the in-app entry tools where available, or email info@padelhub.na with your full name, licence or entry reference, tournament name (if applicable), and reason. Withdrawals for live events should also notify the tournament desk so the draw can be updated.

Chargebacks

Contact the federation first to resolve billing issues. Unwarranted chargebacks may lead to suspended licence or entry privileges until the matter is cleared.
